Description

I.  JOB SUMMARY

The Account Analyst is responsible for preparing journal entries and payment vouchers, processing financial transactions, entering data into uploading templates, making reconciliation, preparing reports. She/he also verifies all source documents for proper approval and documentation.

Job Responsibility #1:  Processing Financial Transactions:

§  Verifies and ensures that required documentation and authorization is presented before effecting payments and encoding data into the system;

§  Assist AP specialists with journal entries for prepaid monthly amortizations such as rents, fuel and other prepayments;

§  Prepares entries for intra-company and other cross charging;

§  Prepares checks and cash transfer letters;

§  Prepares journal entries for accruals, cash collections, transfers, correction, adjustments, and Petty Cash Replenishments

§  Enters all financial data to FGMS/People Soft and/or into uploading templates both AP and GL modules

§  Generates Coding Slips for proper encoding.

% of Time:  40%             

Job Responsibility #2:  Cash Management

§  Follow up the cash position of the office at all its bank accounts so that all disbursements are made from a sufficient cash at bank;

§  Maintain the cash book of the office; proactively inform AP Specialists and Accounts Manager on cash position so that the various bank accounts are at the right cash balance amount;

§  Assist AP Specialists in the periodic cash forecasts and monthly bank reconciliations;

§  Review regular petty cash/work advance replenishment requests.

% of Time:  15%             

Job Responsibility #4:  Filling and Reporting:

§  Assist AP Specialist in preparing cross charging, tax obligations and other reports;

§  Ensure that all disbursement and collection financial documents are fully documented; hand over same to Account Assistant for checks dispatch and archiving;

§  Maintain AP Collection and Disbursement Tracking Sheet for full and timely follow up on lead times;

§  Prepares weekly cash balance report.

% of Time:  20%

Job Responsibility #5: Others:

§  Provide all required FGMS/People Soft data for Auditing purpose;

  • Assist in the periodic inventory count representing Finance;
  • Perform other duties as assigned.

% of Time:  15%

Job Responsibility #8:  Learning:

  • Keeps up to date with developments in the sector, including best practice examples and ensures ongoing personal development and learning;
  • Ensures the communication of finance policies and procedures within the organisation, and with other stakeholders.

% of Time:  5%

Job Responsibility #5:  Performs other incidental duties as assigned.

Job Requirements

IV. QUALIFICATIONS (KNOW HOW)

A)    EDUCATION/TRAINING

Required:

§  College diploma in accounting or equivalent combination of education and work experience

Desired:

§   BA degree in Accounting

B) EXPERIENCE

Required:

§   3-5 years of previous experience in a similar field.

Desired:

§   NGO experience

C) TECHNICAL SKILLS

Required:

§  Good communication and presentation skills;

§  Well organized and ability to act in a professional and ethical manner;

§  Good skills in computer applications;

§  Firm belief in teamwork, gender equality, participatory approach and sustainable development.

Desired:

§   Knowledge of People Soft software.
