BACKGROUND

The Entrepreneurship Development Center (EDC) is looking for competent person to fill the a vacant position as Admin Assistant. The Entrepreneurship Development Center (EDC) is a quasi-government institution, established by the ministry of Urban Development and Housing and the Federal Urban Job Creations and Food Security Agency (FeUJC&FSA), in partnership with the United Nations Development Programme (UNDP) Ethiopia, in February 2013 to implement a national Entrepreneurship Development Program (EDP), a program  that aims to foster the emergence of a robust competitive private sector with focus on micro and small-scale enterprises. EDC has its headquarters in Addis Ababa regional coordination offices in Oromia (Bishoftu), Amhara (Bahir Dar), SNNPRS (Hawassa), and Tigray (Mekelle). EDC is looking for qualified personnel for the following posts.

SCOPE OF WORK

Under the direct supervision of the Chief Executive Officer of EDC, the Admin Assistant will be responsible for providing administrative and program management support to the CEO and the organization performing a variety of standard administrative processes ensuring high quality, timeliness, and accuracy of work. The Admin Assistant promotes a client, quality and results-oriented approach.

Specific Duties and Responsibilities

Responsibilities

  • Provide effective administrative support to ensure smooth operation of the office.
  • Serve as a contact person and resource person for the staff of regional coordination offices.
  • Managing the calendar of the CEO, maintaining contacts with visitors and staff, arranging appointments and meetings, when required taking minutes;
  • Compilation and preparation of briefing and presentation materials, speeches, background information and documentation for meetings and missions.
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to the CEO's office
  • Update the list of stakeholders and their contacts and establish effective communication with all stakeholders
  • Arrangement of travel and hotel reservation, preparation of travel authorizations, processing requests for visas
  • Custodian for management of office stationery supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping log of distribution;
  • Process procurement of items for EDC.
  • Review of travel authorization, documentation, and follow up on payments;
  • Arrangement of vehicles for travels and errands.
  • Maintenance of the filing system ensuring safekeeping of confidential materials.
  • Briefing of staff members on general administrative matters.
  • Undertake additional tasks assigned by the CEO, Program Managers and other officers.

Job Requirements

REQUIRED QUALIFICATION

Education:

  •  University degree in Management, Human Resources, or Business Administration, Secretarial Sciences and Office Administration and other related fields.

Experience: 

  • At least 5-year work experience in the same position or in a position related to this assignment
  • Prior experience on project related administrative or program coordination work is preferred.

Skills and knowledge:

  • Ability to multi-task and execute priorities on a timely and efficient manner
  • Attention to detail
  • Strong analytical skills.
  • Knowledge of computer software (MS offices, internet/ email, and Amharic type writing software).
  • Strong interpersonal skills.
  • Ability to plan and prioritize work duties, and to handle a multitude of tasks simultaneously with a team under time pressure.
  • Strong organizational skills and attention to detail.
  • Strong customer service and team work orientation.

Language: Excellent writing and spoken English and Amharic.
