The Position:

The incumbent will provide administrative support for the UNFPA-UNICEF Joint Programme on the elimination of Female Genital Mutilation: Accelerating Change. This is the largest global programmed addressing female genital mutilation and it supports national efforts in 17 countries and also global and regional level initiatives.

You will report to the Coordinator of the UNFPA-UNICEF Joint Programme on the Elimination of Female Genital Mutilation: Accelerating Change.

Job Purpose:

You will support the smooth functioning and management of the UNFPA-UNICEF Joint Programme on the Elimination of Female Genital Mutilation through providing administrative and financial functions.

Main Tasks & Responsibilities

You would be responsible for:

Administrative Functions:

  • Providing administrative support to the coordination team of the programme as needed.
  • Providing logistical and administrative support, including meetings and teleconference preparations; prepare documentation for recruitment of consultants and follow-up on recruitment; maintain the filing system, as needed, in coordination with Finance Associate of the Gender and Human Rights Branch;
  • Making travel arrangements and prepare travel authorizations for the team and for participants of events such as, Annual consultation, Donors field visit, Steering committee, CSW events and various consultations;
  • Providing support for procurement activities on request, including drafting of contract documents, monitoring invoices and payments.
  • Following-up requisitions status through the requisition module in Atlas for POs.
  • Working closely with Finance Associate in ensuring that appropriate information for monitoring programme is up-to-date;
  • Assisting in producing documentary evidences required by the auditors during audit sessions;
  • Providing all necessary research support including literature searches, UN related information; e-track, country office and geographic divisions' reports
  • Providing information for preparation of documents, guidelines, speeches and position papers using website or content searches by selected themes
  • Organizing, compiling and processing information from donors, country offices, UNICEF coordination team, etc., as inputs to various databases and documents;
  • Preparing first drafts of responses to inquiries received for action by supervising officer;
  • Assists in the update of the programme Intranet web page.

Financial functions:

  • Assists in the development and maintenance of the financial database.
  • Monitors and verifies availability of projects activity and prepare reports. Compiles, monitors financial reports and prepares statistics as requested. Prepare quarterly status report on the budget of the Programme.
  • Ensures that allocations, budget and expenditure records are up to date and correspond with those of the ERP/ATLAS.
  • Liaises with Personnel Branch, Finance Branch, MIS and others, as needed.
  • Prepares budget redeployments, travel authorizations, and payments through ERP system.

Qualifications and Experience

Education:

First level university degree in Finance, Accounting, Business, Public Administration or similar discipline desirable.

Knowledge and Experience:

  • Six years of relevant experience in administration, finance or office management.
  • Proficiency in current office software applications, web-based management and ERP financial systems.

Languages:

Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.
