Position: Administration Assistant
Reports to: HR & Admin Team Leader
Supervision of: None
Duty station: Jigjiga
The Administration Assistant is responsible for the administration at the Jigjiga office and surrounding.
Generic responsibilities
- Implement and maintain NRC’s administrative systems and procedures
- Ensure adherence to NRC’s policies and procedures
- Ensure a well-functioning reception, clean office premises and serving of refreshments/meals according to standards
- Request and follow up of Travel in good time and processing of tickets when needed
- Implement and maintain a filing system for all administrational documents according to procedures
- General follow up of the NRC office and houses/apartments and ensure that utility bills are paid
- Carry out periodic inventory audits
Specific responsibilities
- Guide all cleaners and cooks
- Be a focal point person in the day to day administrative activities; including both Office and guesthouses requirements.
- In charge of all correspondences in and out of NRC office and keep record of all the correspondences
- Hotel & flight booking
- Timely payment of utility Bills like Electric city, Internet, water, Telephone etc
- Raising of PRs where necessary
- Maintain, distribute and replenish office supplies, including keeping all assets (inventories) registered and updated on monthly basis
