Job Summary
Responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Detail Duties & Responsibilities
- Acting as the point of contact between the executives and internal or external clients
- Assist the General Manager extensively
- Greet visitors and determine whether they should be given access to specific individuals..
- Alert manager about cancelations or new meetings
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Prepare responses to correspondence containing routine inquires
- Manage information flow in a timely and accurate manner
- File and retrieve corporate documents, records, and reports.
- Meet with individuals, special interest groups and others on behalf of executives, committees and boards of directors.

- Organizing meetings and booking meeting rooms
- Handling correspondence directed to managers
- Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping, in order to aid executives.
- Making travel arrangements and detailed travel itineraries
- Producing reports and presentations
- Manage the CEO’s calendar and set up meetings
- Maintaining filing system, and looking for ways to improve current systems
- Take minutes during meeting as my be needed
Job Requirements
Education & Related Work Experience
- First degree in Secretarial Science, Management and other related filed and Minimum 4 years work experience as Executive Assistant, Personal Assistant or similar role.
