  1. Role and responsibilitiesThe purpose of the Field Office Coordinator is to run the day to day support functions at a field office.

    The following is a brief description of the role.

    Generic responsibilities

  2. Manage support staff at field office level
  3. Manage day to day Admin, HR, finance, logistics and security tasks of the field office
  4. Ensure adherence to NRC policies, handbooks, procedures and SOPs/guidelines
  5. Ensure adherence to Security and Risk Management policy and procedures
  6. Coordinate and assist with budgets and costs for the field office’s shared costs and support functions
  7. Provide support in the training and development of staff
  8. Provide support to project implementation at field office level
  9. Coordinate representation meetings with the UN, partners and authorities
  10. Promote the rights of IDPs/returnees in line with the advocacy strategySpecific responsibilities
  11. Responsible for the improvement and consolidation of the support functions at field office
  12. Provide input for improvements/updates of existing policies and recommendations for new guidelines and SOPs
  13. Ensure NRC systems and software for support functions is properly used by all relevant staff
  14. Monitor local news and translate appropriate security related information in updates to the Staff Safety and Liaison Officer and AM, and inform about issues that may have an effect on NRC security in the region and advise on precautionary measures
  15. Produce written reports on the security situation in the field office based on the current information available from other agencies, NRC sub offices, media and other sources as required
  16. Ensure incident reporting is conducted as necessary in coordination with the Staff Safety and Liaison Officer
  17. Briefings/orientation of staff: Ensure orientation/induction of new staff/visiting staff is completed on first day of arrival to Metekel
  18. Participate and contribute to program meetings and provide up-to-date analysis of achievement and status updates in relation to the projects implemented in the field
  19. Ensure Logistics, Finance and Administration input is provided during Project Cycle Management (PCM) processes, including at project development stage
  20. Ensure that key program staff at field office are trained on support functions policies and procedures
  21. Support to programme and finance teams to prepare for audits.
  22. Ensure supporting documentation is secured both online and in hard copy according to the SSD policy
  23. Provide monthly and ad hoc reports on the support functions to the Support Coordinator, Finance Coordinator and Area Manager
  24. Organize weekly meetings with the support team at field officeCritical interfaces

    By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  25. Support function: Support Coordinator at AO and HR, Finance, Logistics Managers at CO
  26. Security: Staff Safety and Liaison Officer at AO and Staff Safety Manager at CO
  27. Programmatic operations support: Area Programme Manager, M&E Coordinator, CC Coordinators, CC staff at field officeScale and scope of position

    Staff:

    Admin Assistant, Finance Assistant, Logistics Officer, Drivers

    Stakeholders:

    Zonal authorities, UN agencies, BGDAN, I/NGOs

    Budgets:

    List of budgets covered by postholder, and size of budget

  28. Minimum of 5 years’ experience from working as a Field or Support Coordinator in a humanitarian/recovery context
  29. Previous experience from working in support functions in complex and volatile contexts
  30. Minimum 2 years Support Management experience in NGO/humanitarian work environment
  31. BA in supply chain management, business administration or related
  32. Documented results related to the position’s responsibilities
  33. Knowledge about own leadership skills/profile
