Ethiopian Construction Design and Supervision Works Corporation (ECDSWCo.) is transforming and diversifying from the current consultancy business operations. Taking advantage of the existing ECDSWCo.’s strength and maximizing on the newly emerging external opportunities that are being prevalent with the shifts in Ethiopian Economic Policy – the Corporation is aiming to play a significant role to the success of the Ethiopian Construction Industry -by creating a vibrant business institution that will not only fill the gap that is in the current construction industry, but also replace the need for having international construction companies that are dominating the government mega scale projects.

To this, the Corporation is emerging as an Engineering and Investment Group. The proposed name of the Group is ‘’Ethiopian Engineering and Investment Group (EEIG)’’. The Group will comprise of three main operational business units i.e., Consultancy, Construction and Investment.

EEIG-Construction business unit key activities are high-end complex construction projects, predominately high-rise commercial and residential buildings, real-estate; infrastructure (roads, railways and airports) & water and energy sector construction. EEIG-Construction alone would grow into a conglomerate of several business units including Piling, underground and foundation Works, Fit-Out, Energy (Solar Solutions), Electro- Mechanical Solution, Facility Management, Landscape and Construction Materials Production.

EEIG Construction is launched with the vision of being the best construction company in Ethiopia with a strategy of Timeously executing high-end complex projects, by utilizing proactive management skills as a Design and Build Contractor in order to achieve an optimum return and aspiring to be a competitive and preferred choice that can replace the current dependence on international contractors and deliver excellence.  Position Overview/Scope of role:

The front desk administrative assistant will be the first point of contact for our employees and guests. The role holder is responsible to schedule and confirm appointments, direct incoming calls, and welcome visitors. Additionally, this position provides a broad range of administrative, database and document control support for the head office team.

Top Roles and Responsibilities: 

  • Welcoming and assisting visitors and guests in a friendly and professional manner– direct them to the appropriate staff member.
  • Reporting to management and performing administrative duties.
  • Answering telephone calls, as well as screening and forwarding calls.
  • Performs Scheduling and confirming appointments, meetings, and events.
  • Calendar coordination; purchase airfare and lodging.
  • Reserve conference rooms and tele-conference services.
  • Select catering, facilitates and ensure end to end service is rendered for meetings, trainings and other events.
  • Support Office Manager in Monitoring office supplies, ordering, distribution and replacements.
  • Prepares correspondence, presentations, email communications, and excel spreadsheets as deemed necessary.
  • Maintains document control support to Quality Control Quality Assurance department as needed.
  • Responsible for gathering and packaging outgoing packages as well as receiving incoming packages and distributions.
  • Follows up on invoices and payments for some services rendered.
  • Performs word processing, photocopying, faxing, data entry, and other administrative duties as assigned
  • Has to be trustworthy individual who respect the confidentiality of others and keeps information’s and documents secured.
  • Attends staff meetings as required.
  • Keeps the reception area tidy and observes professional etiquette.

Job Requirements

Educational Experience

  • Diploma or Degree in any field of study

Work Experience

  • Minimum of two-year experience in similar role.
  • Candidates having worked as an administrative assistant / front desk officer / receptionist in a hotel setting, NGO or International organization will be given priority.

Critical criteria/Skill to be successful in this role:

  • Exceptional ability to create a welcoming environment
  • Proficient utilizing Microsoft Office programs (Outlook, Excel, and Word)
  • Working knowledge of printers, copiers, scanners, and fax machines.
  • Excellent organizational skills including ability to prioritize and coordinate multiple tasks.
  • Excellent written and verbal communication skills Amharic and English including professional phone etiquette.
  • Excellent interpersonal skills with the ability to effectively interact with internal and external business partners and staff at all levels.
  • Responds promptly to shifts in direction, priorities and schedules.
  • Uses sound judgment and problem resolution skills, often makes decisions in supervisor’s absence.
