Duties And Qualifications
The Guest House Manager will provide administrative assistance to the immediate supervisor and/or Head of the Office, and/or to the Unit as a whole to ensure that routine services and activities within the administrative domain are properly implemented. As per specific instructions, the incumbent may require liaising with other internal or external entities, to ensure effective delivery of services and achievement of objectives. The assignments are mostly standard tasks including limited interpretation of subject matter and information exchange between staff in the office, at the duty station and external officials of other institutions to ensure mutual understanding. The incumbents workload and the assignments will remain under constant guidance and direction of the supervisor.
Duties
The incumbent of this position will:
Manage the reservation booking using the Global Humanitarian booking Hub https://accommodation.wfp.org/login/ reception and payment arrangements,
Provide the accommodation facilities by assigning rooms to guests and maintain a list of guests in the compound,

Prepare monthly accommodation bills for rent deduction for staff members and issue accommodation bills for the guest accommodated in UNHCR guest house,
Undertake a need assessment for guesthouses improvement, report, and reasonable procurement plan to the immediate supervisor and Admin Officer/or Head of the office,
Undertake regular visits to different room to ensure that systems are in place and evaluate the cleaning service rendered by the private company in charge of cleaning,
Ensure that the accommodation, including laundry and all lodging facilities are kept clean on daily basis, replaced, or repaired on need-based manner,
Supervise and maintain general cleanliness and lighting of pathways in the compound including proper waste disposals,

Ensure that repairs and maintenance of rooms, houses and facilities are done in prompt manner electrical, plumbing, A/Cs repairs and carpentry so as not to inconvenience residents/,

Supervise all cleaners within the compounds and ensure the compound is properly cleaned.

Maintain records of all items procured for the Compound, Improvement work for Canteen and entertainment facilities,

Perform Other Related Duties As Required

The incumbent¿s workload and the assignments will remain under constant guidance and direction of the supervisor. Supervise the general cleaning of office blocks and accommodation
The Guesthouse manager is a position within an office that requires basic knowledge of administrative rules, procedures as well as operational standards of a UNHCR office. The nature of certain administrative/personnel functions require discretion and confidentiality.
Minimum Qualifications
Education & Professional Work Experience

G4 - 1 year relevant experience with High School Diploma; or Bachelor or equivalent or higher
Functional Skills
IT-Computer Literacy
UN-UN/UNHCR Administrative Rules, Regulations and Procedures
IT-Enterprise Resource Planning (ERP)

Language Requirements
For General Service jobs: Knowledge of English and/or UN working language of the duty station if not English.
