Employment and Private Sector Development

 Several projects in the cluster “Employment and Private Sector Development” are pooling their administrative and financial services in one Admin & Finance team that aims to deliver more efficient and professional services. All projects in the cluster have recently moved into a new common office building and need support in the area of logistics and facility management. The projects in the cluster jointly aim at enhancing productivity and supporting the growth of a robust and profitable economy to create more employment opportunities for young people in Ethiopia.

 Contract Duration:                     Until 31.03.2025

Job Requirements

Responsibilities and Tasks

A.      Responsibilities

The Logistics Manager is responsible for:

  • Managing the GIZ fleet incl. dispatch system for cars and transport related services
  • Asset management system development incl. project inventory, storage management
  • Facility management incl. supervision of operation and maintenance of office building, reception and security system

The logistics manager performs the following tasks:

1.       Fleet Management

The Logistics Manager

  • Supervises a team of 20 drivers and facilitators in the cluster
  • Develops and manages a cluster wide car dispatch system that provides a more efficient and effective transport service to the projects
  • Supervises car cleaning and maintenance routines
  • Manages insurances and car registrations
  • Checks and controls logbooks, re-fueling and other expenses
  • Ensures further training and adherence to security and safety standards among the drivers/facilitators team
  • Documents and files all relevant processes

2.       Asset Management and Inventory

The Logistics Manager

  • Ensures that all office assets of the projects are in order, maintained, repaired and well-functioning
  • Ensures that inventory lists of projects are up to date
  • Develops a proper storage management system and ensures that projects are supplied in time with consumables, stationary, etc.

3.       Facility Management

The Logistics Manager

  • Regularly inspects the building and ensures functioning of all facilities
  • Liaises with the building owner representative where needed for operation and maintenance (e.g. generator, water system, etc.)
  • Ensures and supervises the installation of security systems and ensures that safety standards are adhered to;
  • Develops and supervises a reception system for the office building (incl. security checks, central caller/email distribution, etc.)
  • Develops and supervises a meeting room reservation system for all meeting rooms on all floors

4.       Other duties/additional tasks

The Logistics Manager

  • performs other duties and tasks at the request of management

C.      Required qualifications, competences and experience

Qualifications

  • Minimum MA in Business Administration, recognized commercial diploma in business administration or construction, logistics, management or equivalent

Professional experience

  • At least 10 years’ professional experience in a comparable field as logistics officer / manager
  • At least 3 years’ experience and proven record of team management
  • Experience in working in international (N)GOs environment preferred

Other knowledge, additional competences

  • Proven competence in facility management, logistics and operation & maintenance
  • Proven training in leadership and management
  • GIZ experience preferable
  • very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Very good knowledge of English, ideally a basic knowledge of German
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management.
