Description

Main Accountabilities:
- Adherence to British Council and DFID standards in the coordination and maintenance of office facilities, equipment, communication and overall office management.
- Completeness of supporting records, files and supporting documentation related to office management, staff records, leave, travel, procurement and logistics undertaken
- Quality office administrative support provided to visiting staff, consultants, partners and events
- Responsible for a full range of administrative tasks related to programme delivery and accountable for all office errands and logistics
- Act as the main point of contact with service providers (including cleaning service) and must ensure that all office matters managed effectively
- Leading on facilitation of different trainings and workshops organized in house and outside the office

- Work in coordination with the Logistics Officer, Operations Manager, Finance team, Hub offices, and all other staff in delivering robust office environment
Key Deliverables
- Screen and answer telephone calls politely and promptly. Sign for and distribute all mails and packages received.
- Support the production and distribution of workshop and event amenities and materials. Hotel/flight bookings for visitors in and from outside Ethiopia
- Update internal directories (e.g. staff names, phone numbers)
- Assess and organize programme logistics requirements and ensure appropriate programming of assets to enable efficient delivery of programme activities.
- Manage and co-ordinate travel and transport services for the programme.
- Support programme events, ensuring effective logistical and administrative support is in place.
- Manage monthly/annual event calendar to ensure efficient planning cycles.
- Support the process of vendor set up, raise and goods receipt purchase orders in line with agreed standards and processes
- Maintain accurate logistics records and provide regular reports to relevant team members.
- Support to the finance team in the provision and tracking down of financial supporting documentation as necessary
- Close adherence to programme strategy documents and policies including, Health and Safety, Security and Duty of Care, Codes of Conduct, Procurement, IT use, Knowledge and Information Management, Data Protection etc.
- Responsible for the management and upkeep of office equipment, including ensuring availability of stationery items and that office at all time and are regularly maintained and serviced;
Job Requirement
- A first degree or equivalent professional experience in logistics management. project management, business administration, finance or related discipline
- At least three years’ experience in a similar role managing client funded projects and/or grants
- A professional logistics management qualification is desirable
- Fluency in English (C1 or IELTS 6.5 or equivalent), Amharic and/or a language spoken and used in one of the regional states of the country.
