The ideal candidate will coordinate a wide variety of meetings, prepare presentations, prepare expense reports, draft correspondences. Ultimately, this position should be able to help improve organizational effectiveness and communication, company procedures and day-to-day operations.

This position provides a bridge between management and internal departments for smooth communication. Reads, researches, prioritizes and follows up on incoming issues and concerns both internal and external that are addressed to the management staff. Ideal candidate must be self-motivated and has ability to work in a fast-paced environment with constantly changing priorities.

Roles and Responsibilities

  • Provides administrative and project-level support management, performing advanced functions, some of which may be sensitive/confidential.
  • Develop and execute procedures to ensure productive day-to-day group operations with a focus on efficient and streamlined processes.
  • Track and help drive completion of key deliverables and pro-actively follow up on outstanding items.
  • Prepare and maintain weekly/monthly/quarterly reports for internal and external stakeholder.
  • Plan and attend meeting with executives to take minutes and coordinate action items with appropriate team members.
  • Prepare and track budget and expense reports.
  • Serves as a liaison with senior management. Demonstrate the ability to interface with all levels of team members and clients.
  • Makes sure the managers and production staff meet commitments and deadlines.
  • Oversees strategic calendar management for the leadership team; ability to anticipate, understand priorities, reconcile conflicts easily and prioritize days accordingly.
  • Researches and prioritizes issues and concerns addressed to management. Determines the appropriate course of action, referral, or response using sound judgment. May act independently to propose an appropriate resolution or response.
  • Receive and screen incoming calls and visitors, determine priority status, and make referrals to appropriate staff or provide requested information.
  • Assist with the establishment, revision and maintenance of office procedures and policies by researching various resources to ensure compliance. Responsible for notifying relevant recipients of updated polices.
  • Organizes meetings/events, both on and off-site
  • Serves as a knowledge resource for department staff, regarding corporate policies, procedures, and other functional requirements.
  • Coordinates management and staff travel arrangements.
  • Support the day-to-day operations.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Other duties as assigned

Job Requirements

  • Degree in Secretarial Science, Office Management, Management, Information Communication Technology or related fields OR Diploma in Secretarial Science, Office Management, Management or Information Communication Technology.
  • Good working knowledge of phone, fax, email, and internet as well as software application like MS Office.
  • Excellent written and oral communication skills in Amharic and English. Communication ability in other languages a plus.
  • Excellent reporting and organizational skills
  • Minimum 2 years of related work experience for BA/BSc holders or 5 years of related work experience for Diploma holders.
