Office Assistant/Driver-CSSP2

Role Purpose

To provide driving, administrative, and logistical related support to the Civil Society Support Programme Phase 2 (CSSP2) team of the British Council. The post holder will also expect to provide routine logistics and administrative support to the CSSP2 team, in the areas of facilities management, procurement and wider logistics
Main Accountabilities But Not Limited To The Following
The appointed candidate will have the following accountabilities, responsibilities and main duties:

  • Provision of safe and secure transport services to staff and visitors (national and international consultants), including meeting and greeting at the airport.
  • Delivery and collection of documents and other items from organisations in Addis Ababa and other locations in Ethiopia
  • Assistance in managing protocols for document clearance (customs, for example)
  • Maintaining vehicle logs and ensuring vehicles are fully equipped with required documents and supplies, including first aid kits, fire extinguishers and vehicle maintenance and repair equipment
  • Ensuring timely and accurate hand over of vehicles (checklists completed, etc.)
  • Immediately reports all involvements of project vehicles in accidents, including minor accidents, damage, loss and theft of vehicle fittings.
  • Proactive follow-up on protocol issues with the central and regional offices and other partners and government agencies
  • Maintain general office cleaning and manage designated logistics stocks
  • Manage simple administrative and accounting activities with support of other programme staff such as finance, grants and hub teams.
  • Support the supply and maintenance of communications (postal services, telephone and internet services)
  • Support to accommodation and logistical bookings for staff, ad hoc guests, workshops and other events

As with any business that experiences peaks and troughs of activity, there is likely to be a need to work outside office hours from time to time.
Role Specific Knowledge And Experience
The successful candidate will need to possess the following requirements:

  • Basic English and fluent Amharic.
  • Valid Grade 3 driving license.
  • Diploma in Management/Administration/Logistics related field
  • Secondary education (completion of 12th grade).
  • A minimum of 5 years work experience as a driver of 4-wheel drive vehicles.

Desirable

  • Experience of working as part of a large project team
  • First Aid Trained
  • Certified defensive driving skills
