Position Procurement and Logistics Officer, reporting to the Head of Finance and Administration

 

Main Task: Responsible for the planning, coordination and execution of procurement of good and services at Addis office; coordinate and respond to  the procurement and logistical need and requests of field offices and projects; handle the administration of contracts for procurement of goods and services; ensure timely settlement of payments based on verification of delivery of goods and deliverables; ensure procurement of goods and services are handled as per the established policy and procedures and donor requirements; maintain and update inventory of capital assets and coordinate physical verifications; Coordination of IT support service and maintenance; Oversee office equipment service and maintenance including utilities; handle travel booking, rescheduling and fare settlement;  schedule and coordinate  annual vehicles inspections, renewal insurance policies for all vehicles; schedule and coordinate daily feet management of the programme office; plan, coordinate and oversee  the tasks of Logistics Assistants;  coordinate the regular R&M of vehicles; provide logistical support for meetings, workshops and events including hotel booking; and perform other related and reasonable tasks.

Job Requirements

Qualification, Experience and essential skills:

A minimum of BA degree in Management or Business Administration, or  Procurement and supplies management, or related discipline; a minimum of 5 years of highly relevant solid working experiences in handling procurement ,administration and logistical tasks mentioned above, preferable in not-for-profit organization; excellent knowledge and understanding of internal control systems and procedures; skilful in processing procurement procedures; knowledge of  tax and other laws relevant to NGO operations; excellent understanding and practical application of procurement policies and procedures;  possess essential social competencies: positive attitude; team building and support; excellent communication skill; ability to manage stress and meet expectations; ability to deliver task on deadline; high level of accuracy; attention to details; accountability and responsiveness within areas of responsibilities and  open for learning and taking initiatives; ability to perform independently and interdependently; and advanced skill in using Ms-office applications (Ms-Excel, Word, and Access), and good command of English.
