For a couple of projects and events, we are currently looking for an organized project event coordinator ideally with experience in BTL Marketing and Events/Project Management on a part-time basis.

Responsibilities

• Project management: timeline, budgeting, and post-event feedback
• Work with Production, Event, and Promotion Coordinators to make sure the festival is organized and runs smoothly/properly
• Manage and coordinate event logistics: travel, venue information, and catering
• Manage all pre-event planning
• Securing sponsors, partners, and investors for the Festival
• Oversee Coordinators and Manager, directing and managing their work plan for the Festival
• Coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
• HR: Recruiting and managing a team of staff, giving full briefings
• Procedure: Make sure that insurance, legal, health and safety obligations are followed
• Oversee the dismantling and removal of the event and clear the venue efficiently
• Report: Produce post-event evaluation to inform future events
• Supplier and Vendor Relations: Manage contracts, orders, invoices, and delivery with festival vendors for the event
• Promotion: Oversee the marketing campaign, materials, design and branding, ticketing, sponsors and benefit fulfillment
• Create and maintain detailed operations sheets and records for the festival (master sheet where sponsorship money, payroll, revenue.. are tracked)
• Organize and schedule venue, hotel, transportation and vendors for the Festival
• Serve as primary Guest Artist liaison, managing schedules in collaboration with coordinators
• Create and distribute guest artist schedules and coordinate hospitality needs
• Assist Manager and Coordinators with administrative tasks throughout the Festival, including the gathering of data
• Other duties as assigned/required

Qualifications

Ideally Bachelor Degree in Marketing, Business Administration, or similar.

Experience in Event Management, BTL Marketing, or Project Management is required.
