Summary

Green Way Farms is currently seeking a professional, high-performance individual to serve as an Senior Admin & HR Officer in the company’s Addis Ababa and Butajira office.

This individual will have the unique opportunity to help shape the future of a young, environmentally and socially-conscious agriculture business in Ethiopia, one of Africa’s most promising economies. Ideal candidates have experience in administrative and/or human resource related positions and are eager to join and support the Green Way Farms team.

Green Way Farms is a specialty food company that produces premium, organic food products through a network of smallholder farms across Ethiopia. Our mission is to support sustainable farms and livelihoods for small scale farms across East Africa, while providing sustainable supply chains for our global customers.

Green Way Farms currently operates its flagship operation in Butajira, SNNPR, with 200+ employees, 200+ Partner Farms, and plans to expand to multiple new geographies in 2022. The Senior Staff at the organization are a group of highly talented professionals with experience in Ethiopian export horticulture, and agricultural development sectors, as well as direct experience in the Ethiopian start-up context. Job Requirements

Mission of Role

To support Green Way Farm’s office management, HR management, and general administrative needs; that legal requirements are fully adhered to; and that the Senior Management has the support it needs to execute the company’s mission.

Responsibilities & Outcomes

Green Way Farms is a growing startup that requires flexibility and leadership from its team members. As a result, all Green Way Farms team members are expected to provide active support across departments and initiatives. In addition to other occasional responsibilities and special projects, the key activities and corresponding outcomes for this role include:

General Administration

Support business and trade license renewal and document authentication, as needed

All company business and trade licenses, permits and other legal documents are maintained and current at all times

Support the finance team with administrative needs and errands, as needed - including cash collection, payments, invoice delivery, etc.

All Butajira finances are maintained and orderly, payments are made and received on time, and no administrative task causes delays or prevents completion of operations

Manage and book transportation, accommodation, training and events, and logistics - including flights, vehicles, hotels, etc. as needed

The company’s logistical bookings, training and events are planned, booked, and paid accurately, fully, and on time

Human Resources

Manage Contract for all seasonal and permanent employees and workers

All professional staff and labor have valid and up-to-date contracts on file at all times in compliance with the labor law and company policies

Manage job postings and screening for new hires and support hiring managers with screening, selection, and onboarding, as needed

All vacant roles are filled with high-quality candidates within the targeting hiring deadline

Develop and manage a thorough company onboarding and policy refresher training process

All new employees complete a thorough onboarding process within 2 weeks of hire and receive annual refresher trainings on key company policies

Ensure all foreign employees’ business visas, work permits, and residence IDs are obtained and renewed on a timely-basis

All expatriate employees are compliant with Ethiopian labor and immigration requirements at all times

Manage disciplinary process, including manager training, template creation and filing and tracking of disciplinary warnings

Instances of non-performance are documented and Performance Improvement Plans are developed and monitored, as per the labor law and company policies

Maintain ESG and certification records

All internal standards and certification requirements are maintained with clear documentation and internal control systems

Lead annual review and updates of HR policies, including salary schedule reviews, COLA reviews, etc. and communicate policy changes to employees

All company policies are adhered to, including timely reviews of HR procedures, and all employees are well informed of the policies and any changes made to them over time

Other

Proactively identify and/or execute other administrative support needs, as required

The company’s Senior Team has the timely administrative support it needs to execute the company’s mission; No administrative task causes delays or prevention of operations being completed on schedule

Required Experiences/Skills

  • Undergraduate degree

  • 3-5 years of relevant work experience

  • Expertise on Ethiopian Labor Code

  • Fluency in English

  • Medium to advanced computer and typing skills

  • Strong creativity and problem-solving skills

  • Excellent attention to detail

  • Experience managing vendor relationships

  • Passion for the Green Way Farms mission and values

Preferred Experiences/Skills

  • Experience handling business licensing, securing work permits, and liaising with regulatory institutions

  • Ability to translate from Amharic to English and English to Amharic

  • Ability to type in Amharic

  • Intermediate MS Excel skills

  • Exposure to agribusiness and/or large labor forces

Compensation

Compensation will include a monthly salary competitive with local market rates for relevant work

Reporting

The position reports to the Finance & Administration Manager, but works closely with the Managing Director, as needed.

Location

This position is based in both Addis Ababa and Butajira (50% Each), and  other field sites, as required
